Page numbers are essential for academic papers, business reports, and legal documents. Microsoft Word offers flexible page numbering options, letting you control placement, format, and starting number. This guide walks you through every scenario step by step.
1. Insert Basic Page Numbers (All Versions)
- Open your Word document and click the Insert tab in the ribbon.
- In the “Header & Footer” group, click Page Number.
- From the dropdown, choose a position: Top of Page, Bottom of Page, Page Margins, or Current Position.
- Select an alignment style (left, center, or right) from the submenu.
- Word automatically inserts page numbers on every page and enters Header & Footer editing mode.
- When done, click Close Header and Footer on the far right of the ribbon, or double-click the main document body.
2. Hide Page Number on the First Page
Cover pages typically should not display a page number. Here is how to hide it:
- Double-click the header or footer area to enter editing mode.
- In the Header & Footer tab, check Different First Page.
- The first page number disappears automatically. Subsequent pages display from page 2 onward.
- If you want the second page to show “1,” continue to the next section on setting a custom start number.
3. Start Page Numbers from a Specific Page
Long documents often require the table of contents to use Roman numerals and the body text to restart at 1. Use section breaks to achieve this:
- Place your cursor at the very top of the page where you want numbering to restart at 1.
- Go to Layout → Breaks → Next Page to insert a section break.
- Double-click the footer in that new section.
- In the Header & Footer tab, click Link to Previous to deselect it (the button should appear un-highlighted).
- Click Page Number → Format Page Numbers.
- Under “Start at,” type 1 and click OK.
- Click Page Number again, select a position, and the new section will begin at page 1.
4. Change Page Number Format (Arabic, Roman, Letters)
- Double-click the footer to enter editing mode.
- Click Page Number → Format Page Numbers.
- Use the “Number format” dropdown to choose: 1, 2, 3 / i, ii, iii / I, II, III / a, b, c.
- Click OK to apply the format to the entire section.
5. Remove Page Numbers
- Click Insert → Page Number → Remove Page Numbers to clear all page numbers in one step.
- Alternatively, double-click the footer, select the page number field manually, and press Delete.
6. Troubleshooting Common Issues
- Page numbers not updating: Press Ctrl+A to select all, then press F9 to force-refresh all fields.
- Numbers are wrong across sections: Check that “Link to Previous” is correctly toggled for each section’s footer.
- Page numbers appear misaligned: Verify that header/footer margin settings are consistent across sections.
7. Mac Version Differences
Word for Mac follows the same logic, with minor interface variations:
- Page Number is found under Insert → Page Number, identical to Windows.
- Section breaks are under Layout → Break.
- Format Page Numbers is accessible from the same Page Number dropdown menu.
